Privacy Policy

Last updated: 30 November 2025

1. Who we are

This Privacy Policy explains how ConvertReference.org (“ConvertReference”, “we”, “us”, “our”) collects, uses, and protects information when you use our website, tools, and APIs (collectively, the “Service”).

We aim to follow modern data-protection principles such as transparency, data minimization, and purpose limitation inspired by laws like the GDPR and CCPA. If you have questions, you can open an issue on our GitHub repository.

2. What data we collect

We try to collect as little personal data as reasonably possible while still operating a secure, reliable site.

2.1 Information you provide to us

  • Contact information if you email us or use a contact form (e.g., name, email address, message content).

  • Other information you choose to share in support requests, feedback, or error reports.

We do not currently offer user accounts, comment systems, or social features. If this changes, this Policy will be updated.

2.2 Information collected automatically

When you visit the site or use our APIs, our servers and service providers may automatically collect:

  • IP address and approximate location (based on IP)

  • Browser type and version

  • Device and operating system information

  • Referrer URL

  • Pages viewed, time on page, and navigation paths

  • Date and time of access

  • HTTP response codes and error logs

  • API request metadata (e.g., endpoint, timestamps, rate-limiting information)

This is standard for web server logs and is used for security, performance monitoring, abuse prevention, and aggregated analytics.

2.3 Cookies and similar technologies

We may use:

  • Strictly necessary cookies – to deliver core functionality (e.g., load balancing, security features).

  • Analytics cookies or similar technologies – to understand aggregate usage and improve the Service.

  • Preference cookies – for things like theme settings or language preferences.

Where required by law, we will request your consent for non-essential cookies and provide a way to change your choices.

3. How we use your data

We use personal and usage data only for clearly defined purposes, including to:

  • Operate, maintain, and improve the website, tools, and APIs

  • Monitor performance, availability, and security of the Service

  • Detect, prevent, and investigate spam, abuse, and malicious activity

  • Generate aggregated, anonymized statistics (e.g., page popularity, error rates)

  • Respond to inquiries and support requests

  • Meet legal, regulatory, and compliance obligations

We do not sell your personal information.

4. Legal bases for processing (EEA/UK visitors)

Where GDPR/UK GDPR applies, we rely on the following legal bases:

  • Legitimate interests – to operate a secure, useful, and reliable Service, including logging, security, and basic analytics.

  • Consent – where required for non-essential cookies, analytics, or similar technologies.

  • Legal obligations – to comply with applicable laws, court orders, or regulatory requirements.

5. Data sharing and third parties

We may share data with:

  • Infrastructure and hosting providers (e.g., content delivery networks, DNS, hosting platforms)

  • Analytics or monitoring providers (for performance, uptime, and aggregated metrics)

  • Professional advisors (e.g., legal or security consultants, where necessary)

  • Authorities when required by law or to protect our rights, users, or the public

These third parties are only given the data necessary to perform their services and are expected to handle it in line with applicable data-protection laws and reasonable security practices. We do not sell personal information, but some laws (such as CCPA/CPRA) use broad definitions of “sale” and “sharing.” Where applicable, we will provide additional disclosures and rights mechanisms.

6. International data transfers

Our infrastructure and third-party providers may be located in multiple countries. As a result, your information may be transferred to and processed in countries with different data-protection laws than your own.

Where required, we rely on appropriate safeguards (such as standard contractual clauses or equivalent mechanisms) to protect personal data in cross-border transfers.

7. Data retention

We keep personal data only for as long as necessary to fulfill the purposes described in this Policy or to comply with legal, accounting, or reporting obligations.

For example:

  • Server and security logs: retained for a limited period to investigate incidents and maintain security.

  • Contact emails: retained for as long as reasonable for support, audit, and legal purposes.

  • Aggregated or anonymized data: may be kept longer as it no longer identifies individuals.

8. Your rights

Depending on your location and applicable laws, you may have some or all of the following rights regarding your personal data:

  • Right to access and obtain a copy

  • Right to rectify inaccurate or incomplete data

  • Right to erase data (subject to legal retention requirements)

  • Right to restrict or object to certain processing

  • Right to data portability (where applicable)

  • Right to withdraw consent (for consent-based processing)

  • Right to lodge a complaint with a data-protection authority

To exercise your rights, contact us at our GitHub repository. We may need to verify your identity before responding.

9. Children’s privacy

ConvertReference is intended for general audiences and is not directed to children under 13 (or under the minimum age required by local law). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it where appropriate.

10. Security

We use reasonable technical and organizational measures to help protect personal data (for example: HTTPS, access controls, and infrastructure-level protections). However, no system is perfectly secure, and we cannot guarantee absolute security.

11. Third-party links

Our site may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies separately.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. In the case of material changes, we may provide additional notice (e.g., a prominent notice on the site).

Your continued use of the Service after changes become effective constitutes your acceptance of the updated Privacy Policy.
